Kick-off checklist

Forty-eight hours to turn a yes into a plan with owners.

After the recorded bid call: owners named, evidence assigned, workstreams opened, and unresolved conditions handed off with dates. Forty-eight hours is an illustrative pace, not a universal deadline. Part of our guide on templates and checklists.

Takeaways

  • Starts after a recorded bid: the decision is on the record, made in the meeting.
  • Every workstream gets an owner, evidence, and an internal due date, or it does not exist.
  • Unresolved conditions transfer with dates and owners; they do not evaporate at kick-off.

When do you use it?

In the two days after approval, before writing momentum replaces planning. The decision meeting ends with a yes; this checklist converts the yes into resourced work. If the record shows conditions (insurance binders, partner confirmations, clarification answers), each transfers here with its owner and date. For the reading method that feeds the workstreams, see how to read a 400-page tender in a day.

What goes in each field?

  • Workstream. Compliance, commercial, technical, pricing, review, lodgement, named, not assumed.
  • Owner. One person accountable, not a team, not “BD”.
  • Evidence needed. What this workstream must produce or obtain: pointers to the matrix rows.
  • Internal due. Drafting deadline ahead of tender close, typically days, not the day.
  • Unresolved condition. What the decision left open, with owner and date, carried from the record.
  • Status. Not started, underway, blocked, done, one value, updated daily.

Version 1.0, September 2026. Scope: the first 48 hours after a recorded bid. Pace illustrative; close dates govern.

What does this mean for the bid/no-bid call?

Kick-off discipline protects the call that preceded it: a yes without owners decays into drift, and drift into a zombie. If the checklist cannot be staffed (no owner for pricing, no reviewer for week three), that is new capacity information, and the record gets a new version saying so.
